THE EPIC PLANNING PROCESS

The Epic Booking Experience

Step 1

Every booking begins with a phone call. This is imperative as it allows us to get an idea of what you are looking for in your holiday. Getting to know a little about your past travel adventures, normal travel style, who is travelling, a date window for travel, preferred destinations, your interests and desired activity levels and an idea of budget are crucial for us to customise an itinerary.

Step 2

Following the initial conversation we set to detailing an outline plan. We design the itinerary, check availability at hotels/lodges we would like to include in the itinerary, outline suggested touring and prepare a preliminary cost. We send this through in an on-line full colour itinerary.

Step 3

Once you have reviewed the content we arrange for a follow-up call. This allows us to garner feedback so that we can further fine tune the itinerary to ensure it is exactly what you are looking for. This step can sometimes take a little while “to-ing and fro-ing” on email and chatting on the phone. This step is essential for us to condition you to what is potentially ahead.

Step 4

When you are happy with the itinerary we invoice for a deposit. At this point we will send a link to an online Client Information Form detailing personal particulars, dietary requirements, travel insurance details, passport copies etc.

Step 5

90 days out from travel we set to finalising all arrangements. This includes invoicing for final payment and sending through a final itinerary inclusive of a list of what you need by way of preparation for the trip; visas, medical, packing suggestions, key contacts whilst you are travelling, booking confirmation numbers and other snippets of wisdom.

Step 6

A couple of weeks prior to travel we will be in touch again to arrange a call for a final briefing and allow you the opportunity to ask any questions. This step is vital as it allows us to further put you in the picture as to the adventure in store. It also allows us to make any last minute tweaks to the programme should you wish.

Step 7

Throughout your travels, we will keep a close eye on your progress. We are available for a call at any point should you need help.

Step 8

When you return home we will be in touch. We are obviously very keen to hear how the trip went. Ideally we like to try and do this again on the phone, or better still, if at all practical, in person. Getting your feedback helps us improve our service and ensure everything is perfect for your next trip with us! We’d also love you to share some of your pictures.

Please note: At any point during the whole booking and travel process we are available to speak. Our service is what sets us apart and we find talking directly with clients is better than an interminable trail of emails.

A photo taken in Africa feels like it’s for someone else. I don’t need to remind myself of any part of Africa because, in Africa, I was inescapably present. If you’d hypnotised me, I couldn’t have done a better job of blocking out the rest of world. What else would I think of while watching a pair of cheetahs push themselves to keep eating despite their burgeoning bellies; or a lion physically challenged to pull its kill to safety from circling hyenas and vultures; or a young baboon endlessly distracted while their troop moves on with steady pace and determination. The pictures that I took to memorialize these moments may be interesting to friends and family but are simply too one dimensional for me. In my mind these moments are enriched with the smell of dirt and grass, the smell of fresh blood and old/dried blood, the smell of the sun and heat radiating off every living thing during the day and that smell being slowly put to rest at night. I see the changing colours of the high grass in the winds and the crescendo of a sunset from yellow to orange to bright red with clouds of pink and purple. I hear the birds and crickets playing a calming soundtrack to a day filled with extreme exhibitions of both life and death. I feel a profound connection to a zebra with a broken ankle and another zebra that won’t leave its side; to a couple of gorillas that agree rolling down the grassy hill would be preferable to walking down; and to a lioness who only wants a moment to get a drink for herself and is tackled repeatedly at the hole by two of her cubs. Everything that is beautiful about life is in Africa absent the numbing competition of traffic, work, tv, social media, and the rest. Samadhi refers to “a state of profound concentration and absorption, often described as the merging of the self, mind, and object of meditation into one, leading to a state of bliss or enlightenment.” For me, this has only ever been achieved in Africa. Thank you to your entire team for the great gift that you shared with us. I cannot imagine a more perfect experience.
